Booking Request Management: Workflow from Message to Final Booking

Manage incomplete requests, availability checks, customer approval, and final booking steps in an organized workflow for tour and activity businesses.

In tour and activity businesses, not every customer may provide all the information needed for a booking in their first message. The date might not be clear, the number of people might be missing, or the customer might want to ask about availability first. Therefore, it is necessary to establish a visible process between receiving the request and finalizing the booking. This way, the team does not see an unanswered request as a completed sale, and the customer does not assume their spot is reserved without getting approval.

Keep requests and bookings as separate statuses

A request indicates the customer's demand for information or a spot; a final booking is an operation accepted by the business, recorded in terms of date and capacity. Mixing these two steps can create duplicate records, incorrect capacity expectations, or ignored customers. Status names used by the team should be simple: such as new, waiting for information, checking availability, waiting for customer approval, finalized, or unsuccessful.

Check the same basic information for every request

  • Requested activity or package tour
  • Preferred date and alternative date if available
  • Number of adult/child participants and required age information
  • Customer's name and accessible contact channel
  • Additional service, transfer, or special requirement request

The data each line of business needs to collect may differ. Ask only for the information needed to evaluate the booking; explain to the customer why you need it and do not keep sensitive information in general note fields. Instead of lengthening the request form with unnecessary questions, select the minimum information necessary for the first response.

Do not promise without confirming availability and price

When a request arrives, first check the capacity of the requested date and product. If supplier or team approval is required, complete this check before giving the customer a finalized time. If there is no spot, instead of just saying "full," offer suitable alternative dates. If the price varies according to different dates or selected additional services, clarify the total amount and which services it covers in writing.

Record approval and follow-up steps

  1. When a request is created, determine the person responsible and the target time for response.
  2. If there is missing information, request it with a single, clear message.
  3. Check availability and price, and share the offer with a validity period.
  4. Record the customer's acceptance and payment step if necessary.
  5. Convert the finalized request into a booking and update capacity.
  6. Send booking confirmation, meeting information, and next steps to the customer.

If a request is waiting for a long time without being processed, keep its status and date of last contact visible. This helps prevent the team from writing to the same person repeatedly or the request being overlooked. We explained why common capacity tracking is important if bookings come from different channels in our online booking guide.

Sıkça Sorulan Sorular

Should I reduce capacity immediately when a booking request arrives?
Unless your business has a clearly defined temporary holding rule, do not count an unconfirmed request as a final booking. If you use temporary blocks, define their duration and the conditions reported to the customer.
How should I follow up on requests where the customer does not respond?
Record the date of last contact, send a polite reminder, and close the request as unsuccessful after the period determined by your business. Limit message frequency so as not to bother the customer.
Can a request be converted to a booking in the system?
Yes. If the software used supports this flow, the basic information of the approved request can be transferred to the booking record without being re-entered. Smartur has a flow for converting booking requests into bookings.
