How to Manage Group Bookings? Zero Error Guide
Group bookings are often a source of chaos. Zero-error management guide for 20+ person group bookings for tour operators.
By Mert Aydın · · 6 min read
Group bookings have high revenue but also high operational risk. Running 28 separate processes for 28 people is a source of error; it is correct to manage them via a single "group container".
Group Container Logic
The group should be a single booking record; a guest list should be kept inside it. Adult/child/infant categories should be separate, and their prices calculated separately. Divided payment of the total amount (advance + remaining) should be supported.
Guest List (Manifest)
Name, ID/passport, and date of birth lists might be mandatory for the coast guard or police before departure. The customer should be able to fill this list via a WhatsApp link; constant email correspondence should end.
Payment Plan
30% advance, 70% remaining before departure. The cancellation tier might be different for the group; the contract must be written clearly.
Check-in Speed
Instead of a single QR code for the group, generate separate QRs per guest. Check-in finishes in seconds, and missing people are seen with one click.
Sıkça Sorulan Sorular
- How is the guest list form sent?
- Smartur sends an automatic link upon booking confirmation. The customer fills out the form, and the system automatically processes it into the manifest.
- How is the group discount defined?
- A discount rule is defined according to the number of people tier (e.g., 10+ people 5%, 20+ people 10%). The system performs the calculation.
