How to Write a Booking Cancellation Policy? Free Template
How to write a fair and transparent cancellation policy for tour operators? Legal framework, tiered refund model, and free Turkish template.

If a cancellation policy is well written, it preserves the customer relationship; if poorly written, it loses both reputation and money. The most common mistake we see in the sector: the policy doesn't exist or it sits in hidden places on the website.
6 Basic Components
- Tier: 100% refund T-7+ days before, 50% between T-3 and T-7, no refund under T-3.
- Weather: 100% refund or free transfer to another date for cancellations caused by the operator.
- No-show: No refund right for late-arriving customers.
- Transfer right: Can be transferred to another date within the next season.
- Payment method: Refund with the same method, within 5-10 business days.
- Dispute: Communication and complaint path must be clearly written.

Automation in the System
A self-service flow where the customer can press the "refund" button reduces call center load by 70%. The system knows the policy, automatically calculates the tier, and initiates the payment refund.
Where is the Limit to Flexibility?
Defining exceptions for a regular customer, someone who returns after bad weather, or a VIP group is good practice. Enter this exception into the system as an operator note; you will know what you did later.
Sıkça Sorulan Sorular
- What duration should I legally set?
- In Turkish consumer law, there is a 14-day right of withdrawal for package tours, but this right may be restricted for certain exceptions (tourism, entertainment). Consult a lawyer for details.
- Is there a different policy for foreign customers?
- Yes, but it is not recommended. Fairness in the policy internationally works in TripAdvisor reviews.
