Daily Operation Checklist for Tour Businesses

An actionable daily operation list to check bookings, capacity, team, meeting information, and customer communication before the tour day starts.

Some of the glitches on a tour day do not arise from a major problem occurring, but from small pieces of information remaining with different people. The guest list in the guide's hand might be old, a capacity change might not have reached the field team, or the meeting point might not have been clearly communicated to the customer. A daily checklist gathers this information at a common starting point. The list may change according to the business's line of work; the needs of a boat, a vehicle tour, and an individual activity are not the same.

Before the tour: create a single, up-to-date list

At the start of the day, check which departures will be made, the time of each departure, and the responsible team member. Compare the number of bookings with the capacity; ensure that notes affecting operations such as cancellations, date changes, and child/additional service information are up to date. Determine how to add new bookings that come in during the day to the list and who will announce the changes.

  • Product, time, and number of participants
  • Payment or confirmation status and contact information with the customer
  • Meeting point, transfer, and late-arrival procedure
  • Assignment of guide, driver, pilot, or appropriate personnel
  • Equipment, vehicle, supplier, and weather condition check

Staff and guest briefing before departure

The final briefing message sent to the customer should be short but useful: meeting location, time, contact number, estimated duration, and what needs to be brought. A "Your booking is tomorrow" message might not be enough on its own. On the staff side, the responsible person's access to the up-to-date list, the method of communication in case of delay, and the emergency contact person should be clear.

Record changes during the tour

If a last-minute capacity change, participant drop-off, or supplier delay occurs, determine who makes the decision and who will be informed. Do not leave the current status only in a message group; process it into the booking or operation record as well. This way, the customer service or finance team does not have to investigate what happened after the tour.

Close out at the end of the day

  1. Compare the actual number of participants with the booking list.
  2. Assign outstanding payments, refunds, or customer requests to the responsible person.
  3. Note down capacity and supplier changes that occurred that day.
  4. Open tasks for equipment or the next day that require follow-up.
  5. Check tomorrow's bookings and duty distribution.

A good checklist does not have to be long. If the team uses the same items every day, remove unnecessary repetitions and leave only the checks that require decisions or actions. You can read our hourly capacity management guide on how seeing the calendar and capacity together organizes operations.

Sıkça Sorulan Sorular

Should the checklist be the same for every tour type?
No. Basic booking, communication, and staff checks can be common; equipment, safety, license, or weather condition items should be determined separately according to the activity.
Should customer health information be written on the daily operation list?
Keep only truly necessary information in appropriate records with restricted access. Do not add sensitive personal data to general operation notes; determine your storage and access rules with expert support.
What should be paid attention to if multiple tours are done on the same day?
Each departure should have its own time, capacity, person in charge, and up-to-date participant list. Check that changes during the day are processed to the correct departure.
